Finance committee cancels meeting as members plan refunds and recalculate HDL payments under new council rules

Chair Bob Trainer called the finance committee to order on Aug. 7, 2024, but canceled the meeting at 10:15 a.m. after the group failed to reach a quorum. "Since we do not have a quorum, I'm gonna hereby cancel this meeting. It is 10:15 on the 08/07/2024," he said.

Before canceling, members discussed recent payments routed through HDL and whether those receipts require recalculation under rules the city council passed earlier in the week. "Looks like only 1 person paid in full? Or only 1 payment to HDL?" Chair Bob Trainer asked; another committee member said most items had been deposited but the committee was "waiting on HDL to give us that information" so they could complete distribution calculations.

Members agreed they would contact HDL in writing and request the needed breakdown so staff can recompute amounts and, if necessary, issue refunds. Chair Trainer also raised the question of a previously processed payment to Linde Gas and Equipment, saying the committee would "probably be to ask for a refund on that so we can recalculate that." Committee members encouraged documenting the request in writing and following up by phone.

Committee members also assigned drafting duties for a letter of accommodation requested by an individual named Chris; participants said a draft would be shared and routed to the appropriate person for signature. The committee did not take any formal votes or actions before adjourning.

With no formal meeting held, staff and members agreed to continue necessary follow-up informally, including contacting the consultant and HDL and reconvening when a quorum can be obtained.
