At the meeting a staff presenter gave the Community Education Coordinators Initiative (CECI) quarter‑1 report and said CECs indicated coverage across about 73 towns and reported application assistance for residents in 43 towns.
The presenter said 187 people received application assistance in the first quarter: 35 received introductory support, 118 moderate assistance and 28 advanced assistance; six cases were uncategorized because the standardized categories were implemented after Q1 began. By leave reason, assistance was reported as: bonding 36, caregiver 55, medical 71 and safe leave 19; six cases did not specify a reason. Language breakdown of assistance logged was 138 in English and 26 in Spanish.
CECs reported 224 outreach events in the quarter across community events, networking, presentations, tabling, trainings and workshops; presentations and tabling were the most frequent activities. The presenter noted that some CEC activities reoccur as part of partner events (for example, chamber meetings or farmers markets), which inflates event counts but also builds steady accessibility.
On monitoring and compliance, staff described a new auditing process intended to standardize reporting and verify activities: a one‑page monthly activity form to accompany invoices, scheduled site visits to observe outreach activity, midyear touch bases with each CEC and randomized requests for supporting evidence (invoices, screenshots) tied to selected work plan activities. The presenter said the standardization will make invoice descriptions comparable across organizations and help reconcile quarterly reports and invoices.
During Q&A a member asked whether Q1 totals met expectations; staff said they expect increases in Q2 as three new CEC partners complete start‑up and emphasized that coverage across geographic areas is as important as raw counts. Staff also clarified the referral flow: claimants can file through the portal or get help via Aflac’s phone line; Aflac handles high call volumes and can refer people to CECs or United Way for in‑person or technology‑assisted support.
The presenter said the team will schedule midyear site visits and follow up after Q2 reporting to assess progress and identify coverage gaps.
