The Dolores County Board of County Commissioners voted Dec. 15 to adopt an updated financial policy and a preventive vehicle maintenance plan for county fleet vehicles.
The board reviewed the financial policy language concerning deposits. Staff explained that the county had sought auditor guidance on whether all deposits must be made through the treasurer; the auditor initially recommended treasurer-only deposits but later clarified that departmental deposits were acceptable. The board agreed to retain current practice allowing departments to make deposits and to reconcile monthly.
An Agency official described a preventive maintenance plan adapted from the Tennessee Department of Transportation template, noting the county will budget additional money next year to address high-mileage vehicles. “If we follow this plan, we are gonna have to do some things with those high-mileage vehicles,” the Agency official said, citing parts changes and regular service to avoid larger repair bills.
Commissioners approved the financial policy and the vehicle maintenance plan by voice vote. The board asked staff to provide hard and scanned copies of the policies for the county file book and to work out a system for maintenance records — including invoices or reports that will satisfy CDOT record requirements for grant-funded vehicles.
The board also approved a $550 limited maintenance agreement to update the county’s fuel-management software.
