The Groveland Council on Aging board spent a substantial portion of the July 15 meeting discussing a proposed "ambassador" practice intended to make events more welcoming and to improve board visibility at luncheons, van trips and social gatherings.
Members described two interpretations: a formal model in which one designated board member would scope out events and proactively greet newcomers, and a looser model in which multiple board members identify themselves with badges and circulate as greeters at tables. Some members said a single designated ambassador for an event would make it clear who is responsible for outreach; others said ambassadorship naturally happens at several tables.
Board chair Sharon Hines asked for a clarified practice and suggested the board finalize expectations at the next planning meeting: "We need to identify a way to identify who the board ambassador is for whatever trip or gathering is happening," she said. Directors and members agreed to prepare a simple checklist of duties and to formalize a process so that a designee is named on event days.
The board also discussed scheduling a strategic-planning meeting to align the ambassador practice with board goals and evaluation metrics. Members reviewed calendar options and agreed to hold the planning session on the morning of July 29, with alternative availability noted for July 27 if needed.
No formal policy was adopted at the meeting; the board assigned follow-up tasks to clarify the ambassador role and to produce event guidance for members.
