Board outlines tree inventory plan and a shared volunteer signup

Scott told the board he would carve out time to work with Trevor and develop a protocol and a set of achievable goals for the inventory. The Chair said she expects Scott to produce a plan the board can review.
To streamline volunteer coordination and document access, Scott proposed creating a shared Google Drive sheet to collect names and contact information and to serve as a central repository for board documents. “That way, it’s accessible to everybody, and we’re not emailing these documents around, which things can get out of sync,” Scott said. The Chair supported the idea and suggested using the BMP/Arbor Day program spreadsheets to identify people who had ordered trees as a potential outreach list.
Board members also discussed adopting an Arbor Day software platform to track tree orders, payments and photos; the Chair said the platform could reduce manual spreadsheet management and make deliveries and payments easier to handle.
What’s next: Scott will draft an inventory protocol and a volunteer signup sheet and share access with board members; the board will pilot the signup approach for upcoming plantings and deliveries.
