The minutes say staff will not have Commissioners check people in and will eliminate colored dots that previously marked Commission areas to avoid the check-in bottleneck. Snow cones will be replaced by Italian ice, and committee members were asked to confirm that popcorn remains on the menu.
Staff asked the committee to hand out flyers to neighborhood streets and to help distribute t-shirts at town hall and gather raffle donations at the event; Jolie is maintaining a spreadsheet of raffle items and logistics, the minutes state. The minutes record that there were about 400 attendees at last year's picnic.
Committee members requested clarification about volunteer responsibilities for the raffle and were told a follow-up planning meeting will be held Aug. 15 to finalize roles and details. The committee's next regular meeting is scheduled for Aug. 14.
