Sterling selects Caselle for new ERP system, staff to negotiate contract

The Sterling City Commission on June 15 approved the review committee's selection of Caselle to provide a new cloud-based financial management/ERP system in response to RFP-2026-001.
City Manager Ian Hutcheson told the Commission the City received nine proposals, shortlisted three finalists (Caselle, Concourse, i3 Verticals), and held demonstrations and interviews with finalists before the committee selected Caselle. Staff noted Caselle's platform includes the required modules in a single integrated cloud environment and that the vendor offered a 50% discount on one-time and recurring costs to Second Class Cities as part of its proposal.
The estimated total cost for initial required modules is $87,170 (including $19,630 in annual subscription fees and $67,540 in one-time implementation costs). Hutcheson advised that approximately $53,400 would be due in the current fiscal year (half of the one-time costs plus the annual subscription) if the contract is executed; Caselle's proposal was time-limited and staff were authorized to negotiate a contract for presentation at a later meeting.
Commissioners asked about data conversion fees, contract length, and cloud environment details; staff said those items will be resolved during contract negotiations and a contract will return to the Commission for approval.
