Mayfield Independent board approves construction payments, contracts, trips and staffing changes

The Mayfield Independent School Board convened Aug. 18, 2025, at 6:03 p.m. and unanimously approved a series of routine and contract actions, including multiple construction payments, program contracts and student trips.
Board Chair Lorane Smith called the meeting to order. The board approved two agenda amendments after a motion by board member Larry Jackson, seconded by Joe Green; the vote was unanimous.
The board then adopted an 18-item consent agenda on a motion by Martha Wynstra, seconded by Michelle Arnett. The consent agenda included approval of minutes, updates to curriculum and data security guidance, athletic admission policy changes, teacher leave requests, district communication tools, electronic payment systems for the band program, and authorization of several field and athletic trips. Approved trips included MHS soccer and a professional-match trip to Nashville, FBLA state and national conferences, and various overnight tournament trips in Kentucky and Tennessee.
District agreements and payments were a major portion of the meeting. The board approved Pay Application No. 7 to A&K Construction (BG 23-113) for $449,619.26 and later approved Pay Application No. 31 (final) for BG 16-163 for $40,000. The board accepted a partially executed KDE BG4 contract closeout for BG 16-163. Change Order No. 1 for A&K Construction (BG23-113) for $225,331.65 was approved unanimously.
Other financial items approved included DPO Summary #5 totaling $74,107.66 and CMS Architects Invoice No. 14 (BG #23-113) for $6,337.00.
The board approved two memoranda of agreement for student services: a PT/PTA services MOA with the West Kentucky Cooperative for $37,933.00 and an MOA with Graves County Schools for visually impaired instruction for $32,158.38. It also approved an MOA/MOU with Campbellsville University for the Option 9 program.
School programs and personnel actions advanced as well. The board approved a three-year (2025–2028) Franklin Covey “Leader in Me” contract for $62,819.95 to be funded by the West KY SAFE Futures grant. Citing high special education enrollment at Mayfield Middle School, the board approved creation of a special education instructional assistant position at MMS. The Read to Achieve District Assurance Statement was also approved.
Board Chair Smith announced that the superintendent had informed the board of personnel actions taken since the last meeting. The treasurer's report and the district’s current bills and salaries were reviewed and approved.
The board appointed Sarah Dunn as the Board Appointed Appeals Committee member and set Mayfield High School’s graduation date for May 15, 2026, with backups on May 16 and May 17, 2026.
With no further business, the board reviewed the superintendent's credit card statement and adjourned at 6:37 p.m. All motions referenced in the minutes were carried by unanimous vote.
