The proposal grew from a committee suggestion for relay races, obstacle courses and other family-oriented activities timed around the parade and fireworks. Committee members said the field day could either immediately follow the parade or occupy the middle portion of the day so attendees could eat, play and return for the fireworks. One member noted the potential to capture campers and out-of-town visitors by scheduling activities near the parade and campground traffic.
Members discussed practical limits: the committee has no dedicated budget for a new event and said the activity should be low-cost and donation-supported if possible. The group noted that an event application is typically required if an event expects more than about 50 people; if the activities are contained inside a park and informal, a permit may not be necessary. Chair advised the committee to coordinate with city staff and Public Works on dumpster or logistics needs and to use PARC@cityofEstacada.org to document plans and request city support and social-media promotion.
After the vote, the committee agreed to work offline in small groups (two-person subcommittees are acceptable without triggering quorum rules) to outline games, vendor outreach and budget needs, and to return to the full committee with a more detailed plan at the next meeting. The committee identified July 4 as the target date and set next steps rather than formalizing all operational details during the May 27 meeting.
Next steps: a small coordinating group will draft the event plan, confirm whether an event application is required, reach out to potential vendors and vendors' contacts, and present a fleshed-out plan at the committee's next meeting.
