New planning staff presented steps to improve public access to Planning Board materials. The planner said he will post submitted meeting materials to a public web page for each meeting (applications, plans and basic references) and maintain a SharePoint/shared drive for full technical documents and draft peer-review materials to control distribution of sensitive contact information.
"As I receive materials, I'll post them directly to the website right at this top link here," the planner said, noting he would try to make naming conventions clearer and to include legal descriptions and the relevant bylaw references on the meeting pages. Board members asked the planner to withhold contact phone numbers and certain engineer-grade reports from public indexing and to publish final decisions and conditioned plans on the public page. Staff and board agreed to coordinate a standard naming convention and to make final conditioned decisions publicly available while keeping larger technical files in a controlled SharePoint location.
