Trustee A. Werner moved the board approve the Canon imageRUNNER ADVANCE DX C5840i from EO Johnson on a 36-month lease at $68.77 per month and to adopt the maintenance agreement priced at $387.84 per quarter; Trustee T. Swope seconded and the motion carried, 4-0.
The board considered two vendor models: the Tri-State Canon iR ADV DX C5735i (purchase or 60-month lease options) and the EO Johnson Canon C5840i (purchase or 36-month lease). Maintenance plan options for the Tri-State unit included a full maintenance plan at $140/month, a service-only plan at $90.30/month, or no maintenance plan; the EO Johnson option presented a quarterly maintenance agreement at $387.84 that includes service, parts, labor, travel, drums and toner and covers up to 5,100 black-and-white and 6,000 color prints per quarter with specified overage rates.
Village Clerk Tonna Claussen provided the procurement summaries in meeting materials. The approved lease for the EO Johnson machine sets the monthly lease payment at $68.77 and pairs that lease with the $387.84 quarterly maintenance agreement, rather than the no-maintenance alternative. The motion record shows the board took formal action and approved the selected lease and maintenance package by unanimous vote.
Next steps listed in the agenda materials indicate the vendor paperwork and any final purchase/lease documentation will follow standard final-approval procedures and public record requirements under Wis. Stats. § 19.84.
