Commissioners approve $157,569 AV replacement covered by insurance and a $4,860 two-year warranty

Purchasing Director EJ Harbin presented a request to purchase audio-visual conference equipment, installation and a 3-year warranty under a TIPS cooperative contract for $157,569 to replace equipment damaged by a sprinkler discharge during a February freeze. Harbin said the insurance deductible had been satisfied and insurance would cover the equipment replacement cost.

Harbin presented options for extended warranty and installation coverage: a 2-year extended warranty for $4,860 or a 3-year option for an additional amount (discussed as $9,793 in the agenda lines). IT staff member Jeff Veil, who had been working on the meeting's livestream issues, recommended taking one of the extended-warranty options. After discussion about coverage for installation and past vendor responsiveness, Commissioner Ponder moved to approve the purchase with the two-year extended warranty; the court approved the item unanimously. "The deductible has already been satisfied, so the full amount of the equipment will be covered by the insurance," Harbin said.
