Debra Heinzman, Alexis Cameron and Mont Heinzman appeared on behalf of the Lyman Car Show and proposed that the nonprofit Heart to Heart vacate one office at Old Town Hall so the town can secure official records currently stored in the Minkler mansion closets and hallway. The Car Show volunteers offered to donate labor and materials to install secure shelving, new locks, mesh and wood reinforcement for the upper exposed area of the storage room, a labeled key storage board, and a new door if needed. They also offered help with digitizing records and pledged to donate a hard drive for backup.
Mayor Eddie Hills and the council agreed to the proposal, asked the clerk to send Heart to Heart a 30-day notice to vacate that office space, and recorded that Heart to Heart may continue to use another storage room it currently occupies at Old Town Hall. The donation and volunteer labor are accepted as town support for record security and future historical tours; the minutes do not specify a formal memorandum of agreement or timeline for completion beyond the 30-day vacancy notice.
