RPC approves new personally identifiable information policy to meet state and federal grant rules

The Regional Planning Commission unanimously approved a standalone personally identifiable information (PII) policy after staff said the previous personnel policy contained only a brief, three-sentence reference to PII and did not meet state or federal grant requirements. "We have drafted a separate policy concerning PII that will establish administrative, technical, and physical protections over personal information," said Mister Rainey, presenting the item.
Commissioners asked about enforcement and consequences for breaches. Rainey said the policy details disciplinary measures, possible legal penalties for intentional violations and required reporting to the attorney general in the event of a breach. The policy also requires employees to review and sign the standards annually and extends requirements to third-party contractors that handle personal information. Commissioners moved, seconded and approved the policy by voice vote; the chair announced the motion carried.
