Trainer outlines VoteCast workflow: clerk launches, commissioners log in to cast votes

A vendor trainer explained how VoteCast will work for Shelby County meetings, saying the clerk launches the event from Media Manager and makes agenda items or sections active while commissioners log in to Legislate to follow the published agenda.
"Once that happens and the commissioners are logged in ... they would log in to legislate with their login and password, and be able to see the agenda that's been published and kind of follow along," the presenter said. He described how clerks can bring up a motion, record a second and then open the voting options so commissioners can cast yes, no or abstain, and how additional values ("excuse" or "recusal") can be added if desired.
The trainer emphasized that votes and motions appear on the clerk display and on the public broadcast, adding that the system archives the meeting so staff can correct metadata in the minutes later. "When you're recording the meeting ... it's creating an archive," he said. "Any of the votes that you took during that specific meeting would be here."
The trainer also recommended a staged training approach: first make staff and clerks comfortable with the system, then bring in commissioners for a shorter, targeted session once staff can run through a meeting without issues.
The vendor did not present a formal deployment timeline beyond the county's plan to have staff training before a planned August 7 use date.
