Board members reviewed draft policy EEEAE on private-vehicle use for school activities and focused on three practical questions: when a student may use a personal vehicle for school business, whether student drivers may carry other students, and how the district verifies valid licenses and current insurance.
"If you authorized it, prior written approval," a board member said while discussing the text. Staff asked whether the district wanted 24 or 48 hours' advance notice; several trustees favored 48 hours for administrative processing. The board directed staff to add language requiring proof of current insurance and a valid driver's license and to connect the policy to existing parking and volunteer-background procedures. Members also discussed exceptions for household members (siblings) and whether spontaneous same-day arrangements should be allowed in emergencies; staff said administrative regulations could clarify procedures and that risk-management (ACE) guidance would be sought.
The board also considered how athletic travel and after-school practice transport differ from daytime field-trip transport and agreed that a separate athletics procedure could address extracurricular returns home. Staff will draft revised policy language to include advance-approval timing and clear links to proof-of-insurance requirements.
