The Planning Commission reviewed Section 3.7 of its Rules and Procedures, which the minutes quote as saying: "The minutes shall include at least the following information: members of the Commission present; all other participants in the meeting; all motions, proposals and resolutions made, offered, and considered, and their disposition; the results of any votes; and a summary of the facts upon which decisions are based." Commissioners agreed to adopt a clarified workflow to meet that standard.
Jason Wilson, the town Zoning Administrator, confirmed he will continue recording official minutes using the contemporaneous bullet-point summaries prepared by Michael Duell. Duell agreed to type bullet-point summaries during meetings and to review Wilson’s draft minutes prior to distribution to the Planning Commission for formal review. The change is intended to ensure minutes consistently include attendance, motions and vote outcomes, and a factual basis for decisions.
