The York Budget Committee on July 28 heard a proposal from town staff to pilot AI-generated meeting summaries and YouTube captioning across boards.
Alex, the town staff member who demonstrated the tool, described a process that uses YouTube captions and an uploaded text file to produce a templated summary. "The process of doing it is pretty simple," Alex said, explaining the workflow of running meeting text through a language model and returning a formatted summary for review. Committee members praised the potential accessibility benefits — including headings and bolding that make summaries screen‑reader friendly — and suggested standardizing the template so residents know where to find key information.
Members also raised legal and accuracy concerns. One member said they did not want an AI summary to be mistaken for the official minutes; town manager Peter Joseph and others advised keeping minutes and an AI summary distinct and proposed an internal review step before public posting. The committee was receptive to piloting the tool for this meeting and asked staff to circulate the template and a proposed review process before wider roll‑out.
Next steps: staff will run a pilot for the Budget Committee’s meeting, share template variants with members for feedback, and return with a recommended approval workflow.
