S3 reported the rental agreement for the arena arrived on May 5 while the event is scheduled to start May 29 and said the delay left insufficient time to complete required paperwork and permitting. "We had some issues with the arena staff with our queen contest...It was very slick. We actually had a girl fall off her horse because the horse slipped," S3 said, listing safety hazards including tractors left with forks up and panels left near pitching posts.
S3 also said the committee faced multiple insurance rejections and had to submit four revisions to meet arena requirements despite prior-year acceptance. The committee asked for clearer pre-event communications and consistent points of contact; the meeting with HR concluded with an agreement to communicate by text and email, but S3 said that arena staff had removed themselves from the arena text chain, worsening coordination. Committee members requested a list of needs and copies of the rental and insurance documentation for follow-up.
