Staff proposes switching to web links for packets to reduce postage and keep reports live

Planning staff told commissioners the department is facing high postage costs and proposed sending a link to the agenda and live staff reports rather than mailing full paper packets. "The county commission is sent a link for all of their reports, and the kind of a nice thing about that is is those those links take it to something that's live," staff said, explaining that edited staff reports would update the linked documents and that hard copies would still be available on request.

Commissioners asked about timing and legal posting requirements; staff said agendas must be available at least three days before meetings but staff typically aims to distribute materials earlier when possible. Commissioners expressed willingness to try the link approach but requested that the chair have a printed agenda on the dais and that staff notify commissioners of substantive changes (including a group text if necessary). Staff also noted e‑comments can be filed up to about four hours before a meeting and that staff will flag significant late changes when they occur.
