Library staff presented a new room-rental and facility-use policy that lays out three room types (medium, large and the meeting room), a fee schedule and rules for reservations. The director told board members that "everyone nonprofit, no matter who you are, needs to pay a $25 nonrefundable reservation fee for cleaning and maintenance," and noted that some groups have pushed back on the fee.
Board members asked whether insurance is required for all rooms and whether the $25 fee would be refunded if the city cancels a reservation. The director said insurance is required only for Room 2; single-day insurance options could be explored for groups that lack coverage. On refunds, the director said she would confirm finance practice but expected that the fee would be credited or refunded if the city cancels. The director also said the city currently absorbs credit-card processing fees on payments for reservations in testing.
