Board members and staff reported that the school's insurance currently covers school activities but may not extend to non‑school events; staff suggested obtaining an attorney review to identify and close coverage gaps before opening broader public reservations.
Members recommended a joint meeting with the community center board, the school facilities manager, the principal and other stakeholders to agree on access procedures, key‑card issuance for emergency responders, and a clear written policy that prioritizes school hours while defining public use outside those hours. The board also said rental arrangements could require a certificate of insurance for large non‑school events and that the pavilion guidelines should be modeled on practices from neighboring towns where appropriate.
