Library trustees told the Select Board that several grant applications may be in jeopardy because the town audit for the most recent year is not finished. Trustees said the library has three applications pending — a noncompetitive summer reading grant ($350), a courier services grant ($683) and a one‑time HUD public‑facilities preservation grant for approximately $308,000 — and that missing or late audit documentation may have led to loss of or danger to these awards.
"She's got 3 grant proposals out. The 1st is the summer reading grant ... for $350. The 2nd is the courier services grant for $683 ... The 3rd ... is $308,000 grant proposal for maintenance upgrades and repairs for the library," Paul Romonelli, one of the trustees, told the Board. He and other trustees said Madeline had submitted materials but the town audit status has left the applications at risk.
Board members described the audit timing as influenced by FEMA‑related reimbursements and the private audit firm's scheduling; the Chair noted the auditor had completed an on‑site visit but that FEMA items remained under verification. Trustees asked the town to provide any written confirmations the library has received and to consider a conditional letter from the town or the audit firm that would explain the audit is in process so grant reviewers understand the status.
The Board asked trustees to share any emails or notices from funders and directed the Clerk/Administrator to confirm what audit documents were submitted and to coordinate with the auditor and legal counsel on possible conditional verification for pending applications.
