The Chair said he had asked for a map to confirm whether the route enters town property or requires private landowner permission. A board member described the event as typically occupying a 24–36 hour window in the area and stressed the board needs to know if any town roads will be closed or if private property access will be required.
Board members agreed the organizer should be asked to add the town to any event insurance and to clarify whether the event would request road closures or formal town support; the Chair said he would follow up with the organizer and with neighboring towns if the route affects them.
