Gary Silva, a presenter with ASB Works, gave the Acton-Agua Dulce Unified Facilities & Finance Subcommittee a live demonstration of the vendor’s school finance and sales platform on Sept. 23.
Silva said the product is a three-tier system — an online general ledger, a point-of-sale app and a web store — and walked the committee through creating purchase orders, writing checks and managing club accounts. He described automatic roster synchronization with Aeries and explained that “As soon as a sale takes place, whether it’s via your web store, whether it’s in person, cash, check, or card, you're gonna see those sales reports, financial reports, student reports, all updated automatically in lifetime.” The presentation also covered item-level sales limiters (by grade, time window, or a district-uploaded group such as a “no-go” list) and membership/discount rules tied to ASB cards.
Committee members asked about fees and operations. Silva said district sites can create their own purchase orders and then write checks, and that credit-card processing carries a convenience fee that is added to the purchaser’s payment; the processor fee he demonstrated was 3% plus $0.35 per transaction, which the district can configure to pass to purchasers for web-store transactions.
On event management, Silva showed an event-tracker add-on that supports barcode check-in and check-out for ticketed events and explained how multiple devices can check in attendees in real time. The presenter confirmed the district purchased the event-tracker module and said the system supports handheld point-of-sale readers for gate sales.
Silva offered district training and consultant support; staff said they would schedule a one-day training session on site and invite IT and bookkeepers. Silva closed by giving committee members his contact information for follow-up questions.
