"I reserved it from 10 to 4," the chair said, and added that the group could be flexible about timing so guests traveling from neighboring towns would have time to attend. Members discussed logistics (use of the kitchen for food prep, picnic-table seating, and whether to site food under the pavilion if the weather cooperates), and noted pickleball is scheduled from 10–12 that day.
Organizers agreed to publicize the event on Front Porch Forum and in the school newsletter and to design a flyer. Rainbow offered to help develop event graphics and work with artists on a flyer template. Committee members said they would confirm whether the fire department could donate a pan of food and would coordinate volunteers for setup and cleanup.
