Board adopts updated communications policy requiring advance notice to trustees when possible
Summary
The board unanimously rescinded the old Policy 4000 and adopted a revised communications policy that reflects digital practices, language‑access obligations and an amended sentence directing the superintendent to give the board advance notice of important communications when possible.
Chief of Staff John Herson introduced a rescind‑and‑replace update to Policy 4000 that modernizes the district’s communications approach to reflect a digital environment and language‑access requirements. Janine Thor, chief of communications, walked the board through edits that add provisions on staff responsibilities, media relations, student privacy, branding, website accessibility and social media use.
During second reading, directors asked for a clearer sentence about communication with the board; President Phil Block proposed amended language and the board adopted it. The amendment reads in effect that "when possible, the Board will receive advance notice of important communication with the community." Following discussion, Director Macklin moved to rescind the existing Policy 4000 and replace it with the amended version; the motion passed by voice vote.
Why it matters: the revised policy formalizes current practices and adds clarity on language access and crisis communications workflows that the administration will share with directors outside the policy text. Administration said some operational crisis protocols will remain internal but the board will be notified in advance of community communications when practicable.
