Board approves new county ERP system; first-year implementation cost about $260,000

Staff said the first-year implementation cost for the combined approach is "about $260,000, well within the $287,000 budget approved for the fiscal year," and described a two-year implementation that places the general ledger and Edmonds implementation first so that Aventity can integrate afterward. Staff described ongoing hosting and license costs and said Aventity's contract includes a built-in annual price escalation; Edmonds was presented with a fixed-fee period for the first five years.
The board asked about contract terms, renewal/licensing and interoperability with existing printers and scanners; staff said critical security and access controls were required in proposals. Staff recommended approval subject to final county-attorney review and acknowledged the vendor team and consultant who guided procurement. The board moved, seconded and approved the contracts by roll call; staff said implementation work will begin with data-conversion steps and scheduled milestones.
The county also requested an election-equipment supplemental appropriation later in the meeting; staff said the ERP contracts and the appropriation are funded within the current budget allocations and fund-balance planning.
