District to retain meeting videos at least one year online; policy committee to set limits

Superintendent Tracy Klinger told the board that Oregon public-meeting rules now require recordings of public meetings and that the district needs a retention policy for video. Klinger said recordings must be accessible on the website and noted the district’s current practice: maintaining videos online for one year after approval of the meeting minutes. The board discussed shorter website availability (three months) versus a one-year public posting and longer district archival retention (three to five years), especially for executive-session recordings that may be needed for litigation or review.
Board members also raised concerns about AI scraping of video clips taken out of context and asked staff to include retention limits in policy work. In the short term the district will keep one year of meeting videos available online and the policy committee will return a recommended retention schedule and any language necessary to address executive-session storage and removal requests.
