Trustee Andrea Hoheisel asked the Board to review protocols for how students are checked in and out of school. Associate Superintendent Leo Perez explained that the district uses the Aeries student information system to maintain contact lists and spelled out the release process: "A person must be listed on the contact list to pick up a student." Perez said a parent can call ahead to authorize another person or the school will call a parent to confirm release; the Attendance Clerk is responsible for following proper protocols.
Perez described the caregiver affidavit verification process and told the Board that the District can add language to the Caregiver Affidavit Form to state that authorized pick-ups should be listed in Aeries. He said if an individual is not on the contact list but has a caregiver affidavit, staff will call contacts on the list until the person can be identified; if a student has nobody authorized to pick them up, the school would call Child Protective Services or law enforcement. Superintendent Owen Crosby said the District will look into which students lack additional contacts and remind parents to add emergency contacts, and that CSBA will issue updated policy guidance soon.
Next steps: staff will revise the Caregiver Affidavit Form language as discussed and report back to the Board when policy updates are applied.
