Daniels County commissioners voted unanimously to obtain a duplicate copy of the county credit card to be used for reserving hotel rooms and similar routine conference expenses. The request came at the Aug. 6 meeting after Tammy Flateiger’s office said staff needed a card to book rooms and pay registration fees.
The auditor’s office warned that issuing departmental cards can bypass the standard accounts-payable process and create extra administrative work tracking receipts. “It usually becomes a headache for our office because it bypasses the regular accounts payable process,” a county staff member said, noting auditors would require receipts and follow‑up for any charges. The requester suggested limiting card use to hotel reservations; a staff member said, “If we just limit it to hotel rooms, then, maybe that's the policy.”
Commissioners discussed issuing a duplicate card with the same account number so traveling employees could present a card at check‑in without creating multiple open accounts. Commissioner S3 moved to obtain another duplicate copy of the card; the motion was seconded and passed unanimously. The commission directed staff to coordinate with the auditor and prepare the card under a clear policy that limits allowable charges and requires receipts and documentation.
