The Londonderry Planning Commission on May 12 approved Pamela J. Spaulding as the commission's clerk after a discussion about minute-taker services and challenges with AI-assisted minutes.
Commissioners reviewed the status of posted minute-taker positions and agreed the public should indicate intent to speak, state a full name, and sign in when offering comment to ensure accurate records. The commission noted difficulty in arranging accepted minutes on the Town website and the extra work needed to incorporate AI-generated material.
Brent Bammarito nominated Pamela Spaulding; Steven Twitchell seconded, and the motion passed. "Brent nominated Pamela Spaulding who agreed this time to accept the nomination," the minutes state. Pam Spaulding later signed the minutes as clerk.
The change is procedural: commissioners said the clerk nomination and improved sign-in procedures aim to ensure clearer chronological minutes and reduce errors when minutes are posted online.
