The board reviewed and adopted a revised two-page town-hall rental agreement that clarifies who may rent the facility, reservation procedures and renter responsibilities for cleanup and damage. The chair summarized the purpose: “to ensure the town hall remains clean, safe, and ready for community use,” and outlined key requirements including reservation confirmation only after payment, key pickup and a 24-hour return policy.
The agreement includes a pre-rental and post-rental checklist (sweeping, mopping, returning tables and chairs, cleaning kitchen appliances and removing all decorations), guidance on prohibited activities (no smoking or open flames except minor exceptions such as birthday candles), and a damage and liability clause noting renters are financially responsible for damage beyond normal wear and tear. The board moved, seconded and approved adopting the rental agreement and the attached cleaning checklist.
Council members agreed to permit early access for decoration the night before when feasible, and assigned follow-up to the clerk to finalize the web-based booking process and link the agreement to the calendar once the trial booking system is active.
