New payroll/time system tested in parallel; staff compliance at 65% in trial

Finance staff reported that a parallel run of Vernon County’s new payroll and timekeeping system showed the back-end funding allocations functioning as expected, but staff compliance with time entry was incomplete. “We just did a parallel yesterday, and it was really cool to see some of the back end funding hitting the way it was supposed to,” the finance director said.
The department said roughly 65% of employees entered time in the parallel. Staff warned that when the system goes live (scheduled for the 21st in the rollout plan discussed), employees who do not enter their time will not be paid on the regular cycle and would instead have to wait for later processing unless an error on the employer side is documented. “And if they're not entering their time, they're not gonna get paid,” Amy Oliver said during the discussion, describing the consequence intended to drive compliance.
Committee members asked how breaks, vacation requests and special payrolls will be handled; staff said some auto-deductions for lunch are in the system and that department heads will be responsible for approvals. Finance said it will continue outreach to department heads to improve compliance before go-live.
