The board reviewed quotes to rent tents, tables, chairs, an inflatable and a snow-cone machine for the July 4 festival and discussed DJ options. A trustee moved to give the committee authority to spend up to $5,000 under committee approval; the motion passed on roll call.
"I would make a motion to go to $5,000 in under the, committee's approval," one trustee said when proposing the spending cap. Trustees also voted to waive the $50 special-event food-truck fee for the 11 a.m.–6 p.m. window and approved the IDOT parade resolution. The clerk confirmed the rental company's insurance would need to name the village as additional insured for the inflatable; that requirement will remain part of the vendor agreement.
The board briefly discussed reducing some equipment (one 20x10 tent, fewer chairs) to lower cost if attendance projections change; final vendor selections will be made by the Public Affairs Committee under the approved financing cap.
