County to roll out eScribe board-management software to streamline agendas and public access

The county office will implement eScribe, a meeting-management platform staff selected after reviewing multiple vendors. Veronice Figueroa, who led the presentation, walked trustees through features: one-click PDF/HTML packet generation, role-based account access, encrypted storage for sensitive attachments (for example, interdistrict-transfer appeals), real-time updates that notify subscribers when individual documents change, commenting and private annotation, task assignment to trustees and staff, and a planned livestream function with agenda timestamps.
Figueroa said staff began weekly implementation calls in November with eScribe and that the board packet for the March meeting will be produced through eScribe; she asked trustees to confirm account access and offered optional short onboarding sessions before the March meeting. Trustees asked whether private annotations are part of the public record; staff clarified trustees’ personal annotations would not be a formal record unless shared. Figueroa also said staff plan to pilot livestream subtitling and timestamp features later in the year and to offer additional training for other county boards and committees.
The change aims to reduce staff workload, improve transparency, and make archived agendas and searchable minutes easier for trustees and the public to find.
