Debbie relayed audit guidance to benefits administrators: if a BA takes verbal instruction from an employee and keys enrollment changes under the BA login, they should obtain a signed paper form with the employee signature to avoid liability and to preserve evidence for any appeals. She said, "If you are signed in under your VA login, we ask that you please get a paper form with the changes and the employee's signature before you make those changes."
She also recommended that administrators, when sitting with employees, have them log in to their own Benefits 24/7 account so the employee's login creates the audit trail; otherwise the BA should collect and submit the signed paper form. Debbie explained that incomplete or late transmission of paper forms to Navia will produce incomplete December reports and urged weekly submission.
