Board members and councilors agreed that updating the design book and clarifying who brings materials to which meeting would reduce the number of iterations and conditions for approval.
The group asked staff to follow up with written clarification on process steps, distribution of draft guidelines, and options for pre-meeting coordination. The meeting concluded with agreement to create clearer channels for information exchange and to return with a short summary of next steps.
