"So the item before you today is to approve and authorize the GM to execute the engagement agreement with Kennedy Jenks Consultants to provide assistance and technical expertise for the vendor selection and software procurement services for the computerized maintenance management system replacement project," said Chris Vickers, Technical Service Manager. Vickers said the CMMS work was moved ahead of a broader ERP replacement so the CMMS platform can be selected and integrated earlier in the process. He said staff has prepared a draft RFP and a functional requirements checklist and wants specialized procurement help to ensure a thorough selection process.
Staff explained the district currently uses Viewworks to track work orders, assets and field repairs, but that Viewworks has not integrated successfully with the financial system, forcing manual time-tracking and payroll steps. Vickers disclosed the proposed engagement amount: $104,873, and said the item was recommended for the consent calendar. No formal vote was recorded in the transcript; staff offered to answer board questions before consent placement.
The board and staff characterized the effort as foundational to long-term operational continuity, noting the CMMS holds institutional maintenance history and will need careful migration. Staff said the consultant engagement is intended to produce a clear RFP and procurement path.
