District staff reported problems with RevTrack payment processing and explained the district discovered the system could not exempt specific, item-level transactions. “After working through multiple people in their tech support level, we found out you cannot exempt specific items,” staff said, and added that the district "turned the fees off for everything and refunded everyone their money" for affected transactions such as parking.
Staff thanked district employees who processed refunds and said about 625 refunds were completed in a single day. Trustees discussed options going forward: either absorb or waive fees, pursue a reduction or retroactive credit from RevTrack, or wait for a planned migration to a different finance system (Skyward cumulative). Staff said the Skyward migration is scheduled in phases and that switching vendors now could require another change later; trustees asked staff to explore fee reductions or retroactive adjustments.
