Commission approves small PO increase after vendor sizing error for dispatch consoles

County staff told the Ellis County Board of Commissioners on July 4 that the vendor drawings for replacement dispatch consoles did not match the county’s five-monitor configuration and that correcting the layout would require a modest purchase-order increase.
Jeff, a county staff member overseeing the project, said the vendor’s documentation consistently showed a four-monitor span while the sheriff center requires five across. He told the board the vendor offered to proceed with the smaller desks only if the county waived part of the warranty, or to supply correctly sized desks with an increase in cost. "I'm asking for another purchase order to increase the cost by $5,977.27 to accommodate this resizing of the 4 desks," Jeff said. He added that additional cabling not included in the original quote was also required.
Commissioner Nathan Liger moved to approve PO 7999 to cover the added cost for consoles and cabinets from Zybix; the motion received a second and passed on a voice vote. Commissioners did not call a roll‑call tally on the record; the board discussed that the overall desk project remains well under earlier project projections.
County staff also noted the existing desks date from 2007 and that some components (adjustable legs) can be costly to replace. Jeff said the warranty on the lifting legs is 10 years and replacing the correct base later could run into multiple thousands of dollars. The board directed staff to proceed with the approved PO increase and to confirm warranty and surge-protection details with the vendor before final installation.
