Staff presented a recommendation to approve a service agreement with the village's enterprise software vendor to move the system to a cloud-hosted SaaS platform. Staff said the old on‑premises version will not be supported and that the vendor offered payment options to prevent a one‑year spike in costs; the agreement allows modest annual increases (up to 5% per year) over the contract term to account for inflation.
"SaaS is the common term for the cloud technology," said Steve Bryant, who joined the meeting to explain vendor terms; he also said the upgraded modules were quoted at $61,370 and that staff negotiated payment terms that spread costs across fiscal years to ease levy impacts. Trustees asked questions about line items and timing; after discussion a motion to approve the agreement passed unanimously.
