A staff member reported the city is in the process of migrating email and related systems from Gmail to Microsoft Outlook and moving email backup services to Cascadia, saying the change reduced the need for the Smarsh contract and lowered backup costs. “We are changing over the computer, email from Gmail to Outlook, Microsoft Outlook...it actually saves us some money in email backup, because we can use, Cascadia instead of having to use Smarsh,” the staff member said.
The staff member described the migration as a work-in-progress with several machines and accounts still to transition and noted the process required logins and some hands-on adjustments. Council members were told most systems are up and running but a few people on vacation and remaining devices mean the transition is not fully complete.
