Caleb, a district staff member, presented an overview of the district's enterprise systems and described the inefficiencies created by multiple disparate products that require manual handoffs.
"We've had the system that we're currently on since 2002," Caleb said, explaining why the district is evaluating new vendors. He walked trustees through a hiring workflow that touches eight different software systems and involves multiple manual transfers and repeated security role assignments.
Caleb said the district identified the need in 2022, tested PEIMS and EDFI connectivity, surveyed peer districts and issued a request-for-information; the district plans to release an RFP this fall and, if a vendor is selected, expects phased implementation with a goal of completing core migration by next fall. He said some vendors could offload software support to reduce district-maintained systems and that the district has budgeted for implementation costs.
Board members asked about quantifying efficiency and implementation costs; staff said some cost savings are expected by reducing the number of systems and that some implementation costs are budgeted. Information technology, payroll and finance staff will be involved in migration planning and security reviews.
