Supervisor Babs Neilsfield sent a letter that was read into the July 8 meeting record, thanking staff for locating a misfiled Foxfire special permit and describing time spent responding to a resident's FOIL request. The letter praised the planner's efforts to reconstruct missing minutes and records and said the supervisor is exploring a grant to digitize past permits so citizens do not face the same barriers to official documents in the future.
"I am exploring a grant to digitize all past permits because no citizen should experience the frustration of not being provided with official documents requested," the letter read. The board agreed the recovery of records resolved part of the FOIL concern and discussed next steps for ensuring file completeness and clarity for enforcement staff.
Members noted the value of staff time spent chasing records and videos of past meetings, and the board asked staff to continue reviewing the recovered materials to determine whether additional actions, including legal research or follow‑up with the zoning enforcement officer, are required.
