The Douglas County Board of Commissioners voted to approve a shift from printing and filing paper minutes in record books to maintaining electronic-only copies, with preserved physical record books stored and backed up.
"We will make sure we, maintain the books we do have," said a staff member presenting the proposal on behalf of county administration, noting the county will retain and secure existing physical volumes while moving to electronic records going forward. The staff member asked for the board's formal approval; the motion was seconded and the board voted to carry the change.
The board discussed preservation and backup methods; staff said existing record books will be stored in the administration building in a secure rack and that multiple electronic backup methods are already in place.
Provenance: Proposal and board action on minutes storage (topic introduced at SEG 288; vote concluded at SEG 335).
