District moves to consolidated financial reports and plans electronic records storage by December

Finance staff reported the district is implementing new third-party financial software that will consolidate reporting into a single, shorter report combining month-to-date and year-to-date columns. Staff said the previous approach produced two reports (one 16 pages and another 86 pages in some cases); the new consolidated report can be as short as seven pages when zero-balance accounts are excluded.
Officials said the new software also speeds routine tasks such as writing checks and payroll processing, and it will change the sign-off process for bank reconciliation to streamline review. Staff told the board they expect to move toward electronic storage and scanning of older records with a target of December to stop creating new paper files.
Board members welcomed the change and discussed coordination for documentation and state reporting during the transition.
