At the meeting the clerk asked the mayor and council to approve a revision to the city's retention policy. The clerk said, "I am requesting a revision to, chapter 2 administration section 2 to 3. Section 2 3 document retention. I want to update the city's, retention schedule at a retention policy and make sure that we are following, the state of Georgia local government retention schedule." The clerk added that the update is part of a master's program project and that she is three classes from completing her degree.
Councilmembers praised the initiative as timely and useful for clearing outdated files and improving access to the city's records. One councilmember suggested a work session to go line-by-line through proposed changes; the clerk said departments will keep records of destroyed items and that Georgia now accepts electronic copies for recordkeeping, suggesting Laserfiche or cloud storage as possible tools.
