One board member proposed changing the policy so the finalized agenda and materials would be available the Friday before a meeting to give members time to review and prepare. "Personally, I think it's not only unfair to the board members to keep adding additional items and documents to our folders up to the morning of the meeting... they need time to read and fully understand all of the information presented," the member said.
Other members raised concerns that requiring a finalized agenda earlier could simply shift addenda earlier or create a proliferation of addenda, and suggested compromises such as setting deadlines (48 hours or a few days before) or clarifying requirements for associated documents versus the agenda itself. The board asked the policy committee to continue discussion and consider options for a vote at a future meeting.
