The advisory committee moved to reduce the frequency of regular meetings from six times per year to a quarterly schedule that would meet in January, April, July and October.
Diana Balcar moved the change and Stephanie Boyse seconded the motion. "I move that we change our meetings to be quarterly going the January, April, July, and October," Balcar said; Boyse seconded and the committee approved the motion by consensus with no roll‑call recorded.
Committee members discussed two options (beginning of quarter vs. middle of quarter) and favored the beginning‑of‑quarter dates so staff would have full quarter data available for discussion. Staff will verify with the city administrator whether a change to the enabling resolution or a council notification is required before the schedule becomes effective.
Why it matters: Quarterly meetings reduce recurring time commitments for volunteers and staff while preserving the ability to convene emergency or special meetings if needed; it also changes the committee’s cadence for budget and grant review.
